The Registration Process

The Yancoal Contractor Management process is completed in two parts: company registration and worker registration and induction bookings.

We suggest you read through the steps before you get started, and allow yourself time to source and upload the information needed to register. A nominated administrator from your business will be required to complete the steps below.

Let’s get started!


Step 1 > Register your business

The Yancoal Contractor Management System can be found by selecting Register/Login at the top of the page.

Select Register and:

> Search for your company’s name to request a new login, or choose to add your company and search by your ABN.

> Complete your registration request by filling in your company details (name, address, ABN and contact details).

> Submit these details and, on approval, you’ll be emailed your new user name and password to login.

Step 2 > Register your business details

Using your new details, login to the Yancoal Contractor Management System by selecting Register/Login at the top of the page.

Select apply to follow the process to register your company, which includes entering your address, contact details and ABN, and selecting the insurances and licences your company can supply to support your registration. More information about the required documents can be found on the Help and Resources page.

Step 3 > Pay for registration

You will now pay for your business registration and subscription in the system, which costs $100 + GST annually. This cost is for the verification of your company information and documents, the management of your profile, and includes access to local support teams if you need help in the system.

Step 4 > Upload insurances and licences

Depending on the work your business does, you’ll be prompted to upload the following supporting documents:

– Workers Compensation Insurance policy

– Public & Product Liability Insurance policy

– Professional indemnity Insurance policy

– Motor Vehicle Insurance policy

– Plant & Equipment Insurance policy

– Company Trade Licences (eg electrical contracting license)

– Safety Management Plan or SWMS documents

On successful review, you will be emailed that your business registration is complete.

To reach compliance to work for Yancoal, you must next register your workers, purchase their site access cards, and book their inductions. Expand the steps below.


Step 1 > Add your workers/employees

Login to the Yancoal Contractor Management System (REGISTER/LOGIN at the top of the page), and select Manage Employee Data. Choose Add Employee and enter your employee’s details. Select submit.

Step 2 > Choose worker roles

Select process next to the worker’s name, select the role/s they perform for Yancoal, and apply. Selecting an underground role at any site automatically includes the requirements for a surface worker at the same site, meaning you only need to select underground roles for underground workers.

Ensure you’ve agreed to the terms and conditions and choose a card delivery address. Select save.

You will pay for employee registration, access cards and inductions later in this process. Worker registration costs $65 + GST per person, every two years.

Step 3 > Upload supporting documents

You will now be prompted to upload documents supporting the role/s you’ve chosen for your employee (medicals, induction documents, trade licenses, letters of competency), and a photo for their ID access card.

Step 4 > Book training

Next, you will need to book the training for your employee, with courses listed at the bottom of the page.

Eastern Underground Mine Contractor Surface Induction = $290 + GST

Eastern Underground Mine Contractor Underground Induction = $428 + GST

Moolarben, Premier and Yarrabee Surface Induction = $25 + GST

Stratford Surface Induction = $162.50 + GST

Click book and choose the inductions from the list, save and add to cart to proceed to checkout.

Step 5 > Pay for registration and training

Pay for the employee registration and training via credit card.

Step 6 > Registration and training approved

Pegasus will review your worker’s registration and training request, and on approval, you’ll be emailed details about their training. Their access card will also be mailed for site access.

It’s important that you keep your company and worker’s details up to date. You’ll be emailed if any documents are expiring so you can update them in the system.
